The situation
The business files quarterly SST returns. The owner's assistant was spending four to five working days per return period pulling figures from two separate accounting systems and reconciling them before the accountant could review. Minor figure mismatches were causing delays and one return had to be amended.
What we set up
We built the data access and assembly process across both accounting systems, mapped figure categories to the SST return format, added source links to each figure, and produced a three-page verification checklist matched to the return structure. The assistant reviews the checklist; the accountant reviews the assembled return.
After two cycles
Preparation time dropped from four to five days to roughly a working day of combined review time. The first cycle after setup required some adjustments; the second ran without changes. No amendments required on either return produced so far. The assistant's time is now used on other tasks during return periods.

The situation
The business receives sixty to eighty vendor enquiries each month, peaking above one hundred in the months before Hari Raya. Staff were spending several hours daily drafting replies from scratch, often repeating the same answers about lead times and product availability with small variations.
What we set up
Setup involved loading the full terms library, current lead times, and product availability data. We agreed routing rules: standard availability and lead time enquiries receive drafted replies; pricing exceptions, credit terms, and new vendor relationships go directly to the owner without a draft. Monthly lead time refresh is built into the schedule.
After three months
Roughly 70% of enquiries are now handled via reviewed drafts. Staff time spent on vendor correspondence dropped from around three hours daily to under an hour of review. The Raya period came in above the monthly average and the draft volume scaled accordingly; the review step stayed at about the same size.

The situation
The owner manages the business largely alone with one part-time staff member. The recurring issue was not any one large task but a collection of small ones — a vendor quote that needed a second opinion, a staff question about a procedure, a document that needed a correction. These didn't justify hiring anyone but consumed more time than expected over a quarter.
How the hours are used
Support requests come through by message, typically two or three per month. Most tasks take between forty minutes and two hours. The quarterly log shows the full list. Hours used per quarter have ranged from six to nine out of the ten available. One quarter had four hours unused; these rolled forward once.
After six quarters
The retainer is still in use. The owner renewed twice. The main value described is not the volume of work done but the availability — knowing there is somewhere to send small tasks that would otherwise stay on the to-do list for weeks. One request was flagged as outside scope; a referral to a more appropriate provider was given instead.
